Payment Options
How CEREVITY handles billing, accepted payment methods, fees, and refunds. CEREVITY operates on a private-pay basis. For current rates, see our pricing page.
In Plain English
CEREVITY is private-pay. Payment is required at the time of service, and a valid payment method must be on file before any session is confirmed.
Private-Pay Model
CEREVITY operates on a private-pay basis. Clients pay directly for services rather than relying on insurance benefits. This model offers several advantages our clients value:
- Privacy: services are not reported to insurance carriers and do not appear on insurance records or explanations of benefits
- No diagnostic requirement: a billable diagnosis is not required to receive care
- Flexibility: session length, frequency, and modality are determined clinically rather than dictated by insurance authorization rules
- Continuity: care is not interrupted by insurance plan changes, network restrictions, or coverage denials
Accepted Payment Methods
Credit Card
Visa, Mastercard, American Express, Discover
Debit Card
Major debit cards processed securely
HSA / FSA
Eligible health savings and flexible spending accounts accepted
All payment information is processed through PCI-compliant payment processors. CEREVITY does not store full credit card numbers on its systems.
Billing & Authorization
By scheduling a session, you authorize CEREVITY Health, Inc. to charge the payment method on file for:
- Confirmed scheduled sessions, charged at the time of service
- Late cancellation and no-show fees as described in our Session Policies
- Any other agreed-upon services or materials
You are responsible for keeping a valid payment method on file. If a payment method becomes invalid or is declined, future sessions may be paused until the issue is resolved.
Fees & Charges
Current session rates and ancillary service fees are published on our pricing page. Rates may change from time to time; the rate in effect at the time of service applies.
Session Fees
50-minute, 90-minute, and 3-hour intensive sessions are billed at the rates published on our pricing page.
Late Cancellation
Sessions cancelled or rescheduled with less than 24 hours' notice are billed at 60% of the session fee.
No-Show
Sessions missed without any cancellation are billed at the full session rate.
Both figures are calculated against the rate for the specific session that was scheduled, so a late cancellation on a 3-hour intensive is charged at 60% of the intensive rate rather than the standard rate. Notice periods are set out in full in our Session Policies.
Reserved Time, Not Metered Time
Sessions are billed for the time reserved, not the time used. When you book a session, your clinician holds that entire block exclusively for you and does not schedule another client into it. That time cannot be reassigned if it goes unused.
- Ending early: if you conclude a session before the scheduled end time, the full session fee applies. Unused time is not prorated, credited, or carried forward.
- Joining late: sessions begin and end at their scheduled times. A late start does not extend the session or reduce the fee. See our Session Policies.
- All formats: this applies equally to 50-minute, 90-minute, and 3-hour sessions. A 90-minute session that ends after 20 minutes is billed as a 90-minute session.
- Changing format: if you want a shorter or longer session going forward, your coordinator can adjust it for future bookings. Format changes are not applied retroactively to a session already reserved.
In plain terms
You are reserving a block of a clinician's calendar, not purchasing minutes. However much of that block you choose to use, the reserved session is billed in full. Cancelling ahead of the session is handled separately, under the notice terms above.
Memberships
A concierge membership reserves a standing place in a clinician's week. It is a subscription to reserved access, not a package of prepaid sessions at a reduced rate, and it costs more per session than booking individually.
- Your membership month: your membership runs on its own monthly cycle, not on the calendar. It begins on the date of your first scheduled session under the membership. That is not the same as your first session with CEREVITY: every client begins with a standard session booked and billed individually, and the membership is applied to your account after it. The membership month ends the day before that same date the following month, and each month after that runs consecutively on the same dates. Where the following month has no matching date, that month ends on its last day. Allocations are not prorated.
- Monthly allocation: the sessions included in a membership are allocated to that membership month and do not roll over. A session not used within its month is reserved time you chose not to use. It is not banked, credited, refunded, or carried into the following month.
- Billing: one charge a month to the payment method already on file, taken at the start of each membership month. There is no separate checkout and no online purchase; a membership is applied to your account by CEREVITY after your first session.
- Minimum term and refunds: a membership is a one-month commitment and continues month to month after that. Each membership month is charged at the start of that month and is not refunded or prorated. Your sessions are placed in your clinician's schedule as soon as the month begins, and that reserved time is what the charge is for. To stop, tell your coordinator. Notice takes effect from your next membership month; the month you are in has been paid for and stays yours to use.
- Session length: Concierge Standard and Concierge Signature include 50-minute sessions. Concierge Intensive includes 3-hour sessions. A membership includes the sessions and the length set out in its tier.
- Changing tiers: a change to your tier takes effect from the start of your next membership month. Tier changes are not applied retroactively to a month already billed.
- Cancelling with 24 hours' notice or more: your clinician will offer to reschedule that session within the same membership month. Whether or not you take the reschedule, the session is drawn from that month's allocation. A rescheduled session is the same session moved to a new time, so it is counted once, not twice.
- Cancelling late or missing the session: a membership session cancelled with less than 24 hours' notice, or missed without notice, is also drawn from that month's allocation. No separate late cancellation or no-show fee is charged on top of your membership. See our Session Policies.
Late Payments
If a payment is declined or otherwise unsuccessful, we will attempt to contact you to update your payment method. Repeated unsuccessful payments may result in:
- Pausing future scheduled sessions until the balance is resolved
- Application of a late fee, where permitted by law
- Referral of past-due balances to a collections agency, where applicable
Refunds
CEREVITY does not generally provide refunds for completed sessions. Refunds may be issued in limited circumstances, including:
- Duplicate charges
- Billing errors made by CEREVITY
- Charges made to a payment method without authorization
Refund requests should be submitted in writing to the contact below and will be reviewed within ten (10) business days.
Receipts
You will receive a receipt confirming each payment processed by CEREVITY.
Disputed Charges
If you believe a charge is incorrect, please contact us first using the information below. We aim to resolve billing concerns directly and quickly. Initiating a chargeback through your card issuer without first attempting to resolve the issue with us may result in suspension of services pending resolution.
